Office meal ordering
An HR buyer's checklist
The right platform should make the daily meal process easier for employees, the office coordinator and finance. Evaluate it against a normal workweek and a difficult one, when attendance changes, a delivery is delayed or an employee needs help.
Map the people and the payment process
Start with the roles involved: employees selecting food, HR managing eligibility, operations preparing counts and finance checking spend. Decide which meals the company funds and what employees may pay for themselves. Ask vendors to demonstrate these flows separately. A polished ordering screen is only useful when approval, payment and fulfilment rules match your organisation.
Watch an employee place and change an order
In a demo or agreed pilot, ask a new employee to find the menu, understand the meal options and confirm a selection without coaching. Check what happens when they join midweek, miss a deadline or need to cancel. Look for a clear order confirmation and an understandable support route. Ask how the system handles access for new starters and removes access for leavers.
Test headcount changes and dietary choices
Ask how the coordinator sees confirmed quantities by date, meal slot and location. Demonstrate a headcount increase, a reduced attendance day and an office holiday. Verify that deadlines are visible and changes reach the people preparing the food. Check how dietary requests appear on the menu and packing list. Ask explicitly how allergies and unavailable items are handled; software labels alone do not establish kitchen safeguards.
Reconcile a sample invoice
Request a sample report that traces selected meals through delivery to the invoice. Finance should be able to understand quantities, agreed rates, extras and adjustments without rebuilding the data manually. Check export formats, cost-centre requirements and who can view employee-level records. Ask how disputed items and failed payments are handled, and whether credits can be traced to the original transaction.
Use this vendor evaluation checklist
Compare every shortlisted vendor on the same questions: Can employees order independently? Who changes meal counts and until when? How are dietary choices labelled? What happens if an item is unavailable? Can finance reconcile quantities and adjustments? What access controls and data-retention terms apply? Who owns support during a missed delivery? Which setup, recurring and transaction charges apply? Record demonstrated, needs confirmation or unavailable for each answer.
Run a pilot with clear acceptance criteria
Choose a representative team and an agreed testing period. Include an employee, HR coordinator, delivery coordinator and finance reviewer. Measure time spent administering orders, selection errors, support response and invoice reconciliation effort. Agree what success means before the pilot. Compare service reliability and total operating effort alongside software fees, then document unresolved questions before committing.

- What should HR test first?
- Test employee ordering, a headcount change, a dietary request and a sample invoice reconciliation using the same realistic scenario across vendors.
- Does a meal ordering platform replace delivery checks?
- No. Confirm kitchen fulfilment, delivery responsibility and issue resolution alongside the ordering software.
